Terms and Conditions for Tour Arrangement

Regarding travel contracts between customers and our company, we accept the booking requests based on the below terms and conditions (Ryokogyo-Yakkan).

1) Tour Arrangement
(1) The customer and Cycle's Company, Inc. shall make the contract for tour arrangement.
(2) Cycle's Company, Inc. shall provide transportations, accommodations or other services as an agency.
(3) Cycle's Company, Inc. receives payment for the fee of transportations, accommodations, and other services, also our charge for the arrangements.

2) Tour Applications
(1) Application shall be made through our website, telephone, e-mail, or fax.
(2) In case the group of more than 2 people, the representative of the group own the right to represent the will of the member of the group.
(3) After the application, the customer shall make the deposit to Cycle's Company, Inc,

3) Tour Contract Through Electrical Method
(1) Cycle's Company, Inc. accepts the application with creditcard without the signature of the client through telephone, fax, e-mail.
(2) The creditcard payment shall be made by ten days in advance of the tour date and the refund shall be made by seven days later of the refund request.
(3) In case the creditcard for the payment is invalid, Cycle's company does not accept the application.

4) Conditions of the Application
1) When the customer is under 20 years old, he/she needs the protector's agreement document.
2) When the customer has in physical or mental problems, is pregnant, or needs assistant dogs, or needs any other unusual considerations, the customer needs to report it to Cycle's Company, Inc. Cycle's Company, Inc.does the best effort to meet the requirements. The cost of the special treatments shall be paid by the customer.
3) Cycle's Company, Inc. may not accept the application when the requirements do not meet our circumstances.

5) Tour Contract
1) The contract is effective when the customer submits the application and makes the payment.
2) The contract is effective without payment when Cycle's company sends the document which says the contract is made. In case of fax and e-mail, when it arrives at the customer.
3) In case of a group of more than 2 people, contract is effective when Cycle's Company, Inc. sends the contract document to the representative of the group.

6) Change of Tour
When the customer changes the tour, Cycle's Company, Inc. accepts it as much as possible. The cost for the changes shall be paid by the customer.

7) Cancelation of Tour
(1) Cancel by the customer
The customer may cancel the tour any time when he/she pays the below:
1. The cost of the services the customer already received.
2. The cost of the cancellation of the services which is on the contract document.
3. The charge of our services.
(2) Cancel in case of the fault of the customer
1. When the customer does not make the payment by the due date, the booking may be canceled.
2. When the credit card of the customer is invalid, the booking shall be canceled.
In case of 1. and 2., the following fee shall be paid by the customer.
The fee for the services the customer already received and the cancelation fee the customer shall receive and the charge for our services.
(3) Cancel in case of the fault of Cycle's Company, Inc.
When the service is not made due to the fault of Cycle's Company, Inc. the customer may cancel the tour. The customer receives the refund except the fee of services the customer already received.
(4) Cycle's Company, Inc. may change the original tour fee when the transport fares, accommodation fees, other facilities change their prices. In that case, Cycle's Company, Inc. shall notify the client 7 days in advance of the departure date.
(5) The client may change or cancel the tour and the following change or cancellation fee will be charged
a) If notice of cancellation is received by Cycle's Company, Inc. 41 or more days prior to the starting date of the tour: No Charge
b) If notice of cancellation is received by Cycle's Company, Inc. 40 days to 22 days prior to the starting date of the tour: 10% of the tour fare
c) If notice of cancellation is received by Cycle's Company, Inc. 21 days to 15 days prior to the starting date of the tour: 25% of the tour fare
d) If notice of cancellation is received by Cycle's Company, Inc. 14 days to 8 days prior to the starting date of the tour: 50% of the tour fare
e) If notice of cancellation is received by Cycle's Company, Inc. 7 days to the starting date of the tour: 100% of the tour fare
f) If notice of cancellation is received by Cycle's Company, Inc. after day of departure, or in case of failure to show without notice: 100% of the tour fare
g) When the customer leaves the tour after the departure, there is no refund.
(5) Cycle's Company, Inc. may cancel the tour after the departure under the following circumstances:
a) When the customer is unable to continue the tour because of illness.
b) When the customer threatens the safety of the tour.
c) Natural disasters, weather conditions, civil unrest, suspension of services by transportation or accommodation facilities, governmental orders, or other cases beyond Cycle's Company, Inc. control.

8) Tour Fee
(1) When the cost of transportations, accommodations or other services change, Cycle's Company, Inc. may change the tour fee.
(2) In case of the customer is a group of more than 2 people, the payment method and due date shall be written on the contract document.
(3) After the tour, Cycle's Company, Inc. clears the difference of the payment balance immediately.

9) Our responsibility
(1) Cycle's Company, Inc. compensates the damage caused by us or tour operators, when it occurs intentionally or accidentally. The damage shall be reported within 2 years from it occurs.
(2) Under the following circumstances, Cycle's Company does not compensate.
a. Natural disasters, war, citizen upset
b. Accident or fire of transportations and accommodations
c. When the transportation or accommodation facilities stop their services.
d. Order of the government, isolation due to illness
e. Accident during the period of free activities
f. Food poisoning
g. Theft
h. Delay, no service, change of the service, change of the route of the transportations.
i. Delays due to accidents or traffic jam, when the transfer car departs as scheduled.
(3) Damage to the luggage shall be compensated up to 150,000 yen when the customer reports it within 21 days from the damage occurs.

10. The Responsibility of the Customer
When Cycle’s Company, Inc, received damages due to the fault of the customer intentionally or accidentally, the customer shall compensates it.

11 The Customer Responsibility Before the Departure
The customer shall prepare effective passport and required visa before the departure.

12 Sightseeing
(1) Sightseeing places or museum, tourist attractions may close due to the investigations or reparations. Cycle’s Company, Inc, brings the customer to other similar places or refund the admission fee.
(2) When the sightseeing places or museum, tourist attractions close or change the opening hours, the customer may change the itinerary and visit other places. In that case, additional fee may be charged.

Go To Travel Campaign for residents in Japan (including Tokyo from 01OCT)
When the tour fees can be lowered under the Go To Travel Campaign, we will let you know befor booking.
With the Go To Travel Campaign, the Japanese government supports a part of the tour fees for travellers. Travellers will make the payment to Cycle's Company, Inc. with the amount from which the government support has already taken. Cycle's Company, Inc. and Go To Travel Office receive the payment from the government on behalf of the travellers.
When travellers cancel the tours, the cancellation fees are based on our current conditions.
Please make bookings with understanding that Cycle's Company, Inc. and Go To Travel Office receive the government support payment on behalf of the travellers.

Go To travel campaign is valid until the checkout of 01FEB 2021.
